Sponsor records can be kept on paper or electronically, as long as they stay accessible during a compliance visit. I-Migrator holds them on UK infrastructure, encrypted, with full access logs.

Records are kept throughout the sponsorship and for one year after sponsorship of the worker ends, or until a compliance officer has examined and approved them, whichever is earlier. The worker file shows which items are missing for each category, so gaps can be closed before a visit rather than found during one.

What documents does the Home Office expect on each worker file?
Identity and immigration status, evidence of right to work, certificate-of-sponsorship records and the rationale for the role, recruitment records where they apply, employment evidence including payroll, attendance and absence records, and current contact details.
Can we keep records electronically?
Yes. Paper and electronic storage are both allowed, provided the records stay accessible during a compliance visit.
Won’t our HR system already cover this?
Most don’t. Standard HR systems aren’t built around the sponsor record-keeping rules and tend to miss the role rationale, recruitment records and address-change history. I-Migrator sits alongside your HR system rather than replacing it.
What happens if we have gaps?
The worker file shows which fields are missing for each category, so they can be closed before a compliance visit. The audit pack reflects the corrected position.
How long do we keep records after sponsorship ends?
Records are kept throughout the sponsorship and for one year after it ends, or until a compliance officer has examined and approved them, whichever is earlier. The platform keeps records and access logs intact until you delete them.
